Working Practices & Process Audit

Two days finding out what your business actually costs to run.

Not an AI readiness score. A written report costing every system and subscription you pay for, mapping where your data actually lives, and listing exactly what to change first — with a number against each item. Fixed price, no open-ended billing, and yours to keep whatever you decide to do next.

Why this exists

Nobody buys software
expecting this to happen.

It accumulates. A tool here to solve one problem, a subscription there because a supplier insisted, a spreadsheet somebody built in 2019 that the whole business now depends on. Individually all sensible. Together, expensive.

You are paying for overlap

Three tools that each send email. Two that each hold customer records. A per-seat licence for people who left. UK small businesses can waste up to £10,000 a year on software they do not fully use.

The same information is typed four times

Into the enquiry form, then the spreadsheet, then the quote, then the invoice. Every retype is a chance to introduce an error, and every error costs more to fix than the typing did.

Nobody has ever added it up

Not the licences, the hours. The real cost of a process is the time it takes multiplied by how often it runs, and almost nobody has that figure written down. Once it is on paper, the decisions make themselves.

What happens

Two days, then a report

A fixed agenda agreed before we arrive, so you know exactly whose time is needed and when. We are there to observe, not to interrupt.

  1. Before

    Agenda agreed

We agree who we need to speak to and for how long, and send an NDA before you ask for one. Usually half an hour of your time to set up.

  2. Day one

    On site with you

Watching how the work is really done — quoting, scheduling, invoicing, record-keeping, the lot. Mostly talking to the people doing it, because they already know where the time goes.

  3. Day two

    Analysis and costing

In our office, not yours. Every system and subscription costed, every data store mapped, every repeated task timed and multiplied out across the year.

  4. After

    Report and walkthrough

A written report with recommendations ranked by saving against effort, and a call to take you through it. One round of revisions included as standard.

Exactly what you get

Being specific about both halves of this matters more than any testimonial, because it answers the only question that counts when you are buying a fixed-price service.

In scope

  • Every system and subscription you pay for, listed with its annual cost
  • A map of where your customer and business data actually lives
  • Your core processes documented as they are really performed
  • Repeated tasks timed and costed across a full year
  • A ranked list of what to change first, with the saving attached to each
  • Any AI your staff are already using on personal accounts, documented
  • A written report you own outright and can take anywhere
  • One round of revisions and a walkthrough call

Not in scope

  • Building anything — that is quoted separately, and only if you want it
  • A formal IT security penetration test
  • Financial or legal advice, or anything that needs a regulated adviser
  • Staff performance assessment. We look at processes, not people
  • Negotiating with your existing suppliers on your behalf
2 days

One on site, one analysing. Plus preparation, the report and a walkthrough call — the fixed price covers all of it.

£995

Inclusive. No day rates, no scope creep, no invoice at the end that is bigger than the quote at the start.

90 days

The window in which the full fee is credited against any implementation work you book with us.

Travel is included within 15 miles of Kenilworth. Beyond that we agree it in writing before booking.

Before you book

How does the guarantee actually work?

If the report does not identify at least the cost of the audit in annual savings or recoverable time, you do not pay. It attaches to what we find, not to what you then do about it — we control the first and you control the second, and it would not be honest to guarantee the second.

We can't lose two days of everyone's time.

You will not. Day one is a fixed agenda agreed in advance, and mostly short conversations with the people doing each job. Day two happens in our office. Nobody stops working for two days.

There's a free AI assessment locally. Why pay?

Ask it early, it is a fair question. Those schemes run on cohorts, eligibility criteria and shared advisor capacity, and much of non-metropolitan Warwickshire may fall outside them entirely. Simon has been through their process directly, which is an answer no competitor can give you. The real difference is that they hand over a report and stop.

What if we take the report and do nothing?

That is a legitimate outcome and it happens. The report is yours outright — you can act on it yourself, hand it to your existing IT supplier, or file it. The 90-day credit exists to make continuing with us the cheapest option, not the only one.

I don't want an outsider in our systems.

Sensible. An NDA is offered as standard before you ask, and a data processing agreement where we would handle personal data. In practice most of day one is conversation rather than system access, and we ask for the minimum we need.

Is this really about selling us software afterwards?

The audit is priced to stand on its own and the report is written to be useful whether or not you build anything. That said, we would obviously rather build what we recommend, and the 90-day credit says so openly rather than pretending otherwise.

What size of business is this for?

Roughly ten to seventy-five people. Below that there is usually not enough repeated process to justify the fee, and we will tell you so rather than take the booking. Above it, you generally have internal IT and a different set of problems.

Two days to find out.
Fixed price to be sure.

Tell us roughly what your business does and how many people work there, and we will tell you honestly whether the audit is worth your money.
